Description
This is a professional position reporting to the Director of Grants Development & Administration. This position generally provides support for grants development and administration efforts. Work requires the ability to support both pre-award and post-award grant duties independently, complete various interrelated activities, and coordinate efforts on multiple grant awards, in addition to coordinating with grant project directors and other personnel.
Essential Functions/Duties
- Compile information on potential funders from a variety of sources including online searches and specialized databases.
- Under the direction of the Director, contact representatives of potential funders to secure key information and establish personal rapport.
- Maintain an organized, up-to-date database of grant-related resources for pre- and post-award use.
- Contact various college personnel to ascertain status of projects and required reports or other documentation.
- Schedule, attend, and provide organizational support for both recurring and ad hoc meetings to advance grants objectives; including setting agendas, keeping minutes, and providing follow up calls to action.
- Provide administrative support, including such duties as arranging travel, assisting with data collection, and maintaining organized, comprehensive records.
- Support the management, monitoring, and tracking of grant post-award management and compliance with Federal, State, and local laws, regulations, codes, and/or standards.
- Prepare work plans and timelines to ensure submission of various grant applications and reports in a timely manner.
- Assist the Director in the coordination of multiple departments as needed to prepare and submit reports related to external funding.
- Maintain documentation of grant closeout processes, including maintenance of grant retention schedules, in collaboration with the Grants Coordinator and project director.
- Support preparation for desk reviews and site visits by external funding entities.
- Organize and coordinate all grant documentation, ensuring electronic accessibility, performing internal monitoring checks, and coordinating physical storage of printed grant records.
- Maintains current knowledge of local, state, federal and institutional grant regulations and processes.
- Supports the establishment of processes to support grant implementation success.
- Participate in the development of department goals and strategies to achieve goals to meet community needs.
- Participate in departmental activities so that projects are completed efficiently and in a timely manner, including professional development initiatives.

- Familiarity with government reporting and federal, state, and local laws, regulations, and requirements that govern grants administration.
- Ability to define problems, collect data, establish facts, and draw conclusions.
- Ability to research information for problem solving.
- Ability to solve problems creatively to meet organizational goals and objectives.
- Demonstrated strong written and verbal communications skills.
- Proficient in Microsoft Word and Excel.
- The ability to prioritize and manage a significant range of projects and activities.

- Salary and Benefits Information
- This position is level P12.

- Required Education
- Graduation from an accredited college or university with a bachelor’s degree.
- Required Experience
- One (1) or more years of experience in grant administration or grant program management, including the associated business and accounting processes.
- Preferred Experience:
- Experience with federal or state grants preferred.
- Grant writing experience preferred.
- Alternate Credential:
- Associate's degree from an accredited college or university.
- Three (3) years of professional experience in grant administration/grant writing.
