About this role

Position:: Specialist, Afterschool (OST/21st Century Grant Funded)
Supervisor:: Federal and State Programs Coordinator
Work Site:: Central Consolidated Administrative Complex

Summary:: Perform a wide variety of responsible, complex and confidential administrative duties in support of Out of School Time (OST) and 21st Century Grants; perform duties that require considerable confidentiality, initiative, tact, mature, and independent judgement; strong interpersonal and organizational skills; coordinate meetings and activities with schools and outside agencies; will develop processes and procedures for both Grants. This position requires work time after the typical school hours.

Essential Duties and Responsibilities:

  • Out of School Time (OST) and 21st Century Program Implementation
  • Guide and support program staff to ensure quality implementation, monitoring, and evaluation of Save the Children's 21st Century program models and Out of School Time program according to established standards.
  • Identify and put into practice procedures for collecting and reporting required information and data from all sites and complete and submit related reports.
  • Provide in-person and remote training and technical assistance for 21st Century and OST program staff; maximize and use of technology to do so.
  • Visit each assigned site in compliance with the program model to conduct observation, coaching, and mentoring. Complete site visit reports.
  • Ensure accurate and up-to-date data collection and reporting for each 21st Century and OST assigned site.
  • Consult with the 21st Century Lead Associate and site Principal about program questions and needs.
  • Regularly communicate with the site Principals, 21st Century Lead Associates and Central Consolidated Administration about program implementation challenges and successes and how to resolve complex issues.
  • Support the team with partner management including but not limited to annual partner planning, subaward budget and spending, grant budgets and reports, annual district/ site stakeholder meetings, partnership performance management, sponsorship, and emergency/ disaster communication and reporting.
  • Meet weekly with each lead teacher.
  • Provide new sites with start-up support including but not limited to training program staff, technology and program materials, and Partner Portal usage.
  • Attend meetings with school district personnel to troubleshoot education program implementation issued for OST and 21st Century.
  • Observe programs in rural communities and provide technical assistance.
  • Oversee the coordination and planning of onsite and virtual program component training.
  • Conduct analysis of program date and provide feedback to partner staff and Lead Associates to increase participant impact.
  • Develop action plans to increase impact at underperforming program sites
  • Conduct follow-up and supervisory visits to organizations that have undergone training to provide technical assistance and facilitate implementation, monitoring, and evaluation of action plans.
  • Develop and maintain a trainee database to monitor trainees and further training needs.
  • Become familiar with federal 21st CCLC donor requirement, interpret, and apply federal and state laws, prepare all required documents, follow up on partner requirements, attend all required training and submit quarterly program narrative reports.
  • Meet established Out of School time and 21st Century grant deadlines.
  • Understand and interpret laws, procedures, policies, and guidelines.
  • Establish and maintain good working relationships with all levels of the organization and the public.
  • Comply with all Board of Education policies, administrative regulations. Public Education Department guidelines and local/state/federal laws.
  • Perform other duties and responsibilities as assigned, reasonably related to the scope of the position.

Minimum Qualifications:

  • Minimum of a High School Diploma or equivalent, plus at least 1-3 years experience in grants administration.
  • Associates Degree Preferred.
  • Professional Proficiency in spoken and written English.
  • Demonstrated ability to communicate and collaborate effectively with individuals and teams at all levels both internally and externally.
  • Ability to secure Defensive Driving Certificate and pass State, Federal, DOT requirements for driving a school vehicle.

Knowledge, Skills and Abilities:

  • Knowledge of Dine language, culture, and history preferred.
  • Establish and maintain good working relationships with all levels of the organization and the public.
  • Good communication skills and customer service skills.
  • Experience with budget management.
  • Knowledge/ experience with EZReports platform.

Physical/Job Requirements:

  • Standing, sitting, walking, lifting, carrying up to 50 pounds, climbing, bending, reaching, kneeling,
  • Driving a vehicle, traveling long distances, writing, typing, word processing, reading, researching information and effective communication skills.

Safety and Health:

  • Knowledge of universal hygiene precautions

  • Motor vehicle, if necessary- valid driver's license
