About this role
The job of School Administrative Assistant provides administrative support to the school site, assuring the smooth and efficient operation of the school office; establishing and maintaining records; compiling and distributing materials and reports; and responding to inquiries from a variety of internal and external sources.
This is a 10-month position, 7.5 hours daily, Monday-Friday.
The School Administrative Assistant will be held accountable for the following responsibilities:
- Maintains and supports the daily operations of the front office (e.g. greeting and assisting students, staff, families, and visitors; responding to varied inquiries; coordinating front-office workflow, etc.) for the purpose of ensuring an organized, welcoming, and efficient school environment.
- Submits, reviews, and updates daily student attendance records for the purpose of ensuring accurate documentation and compliance with district and state reporting requirements.
- Administers first aid and prescription medications to students (in the absence of the health clerk and under the direction of a health care professional) for the purpose of meeting immediate health care needs within established guidelines.
- Attends department and/or in-service meetings for the purpose of conveying and/or gathering information required to perform functions.
- Collects payments for a variety of events (e.g. fines, fees, fund raisers, and field trips, etc.) for the purpose of completing transactions, deposits, and/or securing funds.
- Coordinates assigned projects and/or activities (e.g. opening of school, distribution of materials, closing of school, etc.) for the purpose of completing activities and/or delivering services in a timely fashion.
- Coordinates the schedules for staff for the new school year for the purpose of organizing and disseminating this information.
- Enter additions and/or changes to the computer system for the purpose of establishing and/or maintaining student records.
- Maintains inventory of supplies and materials (e.g. books and/or supplies, forms, office supplies, etc.) for the purpose of ensuring items' availability.
- Maintains a variety of manual and electronic documents files and records (e.g. work orders, time sheets, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
- Notifies and coordinates with the Guest Staffing Team regarding teacher and teacher assistant absences to help secure appropriate coverage.
- Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
- Prepares a variety of correspondence, reports and other materials (e.g. letters, memorandums, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information.
- Processes a variety of documents and materials (e.g. time sheets, work orders, purchase orders, etc.) for the purpose of disseminating information in compliance with established administrative guidelines.
- Responds to inquiries from a variety of internal and external parties (e.g. district staff, other schools, government agencies, general public, students, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.
- Serves as a member of the School Crisis Team for the purpose of disseminating information to parents and the public.
- Supports school financial record keeping by maintaining accurate accounts and coordinating account verification with the Financial Services Department.
- Operates as the primary point of contact in the Principal's absence for routine operational matters (e.g., managing the emergency phone tree, responding to incoming calls, monitoring students temporarily sent to the office) to ensure the smooth operations of the school.
- Experience and Education
- Job related experience is required
- High school diploma or equivalent, bachelor's degree preferred.
- Three (3) years experience as a secretary or two (2) years experience as a school administrative assistant.
Compensation and Benefits:
Salary starts at DESC Salary Schedule - Class E - $23.05/hour for 2026-2027.
