The Nursing & Health Sciences Student Compliance Specialist coordinates and monitors student compliance and progression requirements across the Nursing and Health Sciences divisions, including health records, immunizations, background checks, drug screenings, and other required documentation. This position works closely with students, faculty, staff, and division leadership while providing advanced administrative and operational support in areas such as faculty workload documentation, budget reconciliation, records management, meetings, purchasing, travel, and reporting. The role requires strong organization, accuracy, confidentiality, independent judgment, and the ability to manage multiple priorities and deadlines.

Qualifications

EDUCATION
Required: High School Diploma or GED.
Preferred: Associate’s Degree.

EXPERIENCE
Required: Three (3) years of experience in a fast-paced office setting providing executive, administrative, clerical and/or student support.

Preferred: Four (4) years of experience in a fast-paced office setting providing executive, administrative, clerical and/or student support.

Job Duties & Responsibilities

  • Work Directly with the Dean of Health Science, the Dean of Nursing, faculty, and staff to ensure all students maintain compliance with immunization, documentation, background check and drug screening processes utilizing Complio/American Data Bank software for the Nursing and Health Sciences Divisions.
  • Work directly with the Deans and Directors of the Nursing and Health Sciences Divisions to ensure faculty workload is entered and submitted in a timely manner and signed documentation is received from faculty for their assigned workload.
  • Provide advanced clerical support including notary public duties.
  • Provide assistance to the Nursing and Health Science Program Directors.
  • Prepare and coordinate advisory and other meetings, including but not limited to, room reservations, meeting setup/layout, refreshments, agendas, invitations, RSVP’s, calendar appointment scheduling, and taking and posting minutes.
  • Compose and prepare letters, memos, reports, and other written communication materials (from notes, rough drafts, dictation equipment, or self-composed) for a variety of audiences, using correct spelling, grammar, punctuation, composition, text editing, and proofreading skills.
  • Coordinate monthly division budget reconciliations and expenditures. Run budget reports, submit requisitions, purchase orders, receipts, ensure payments of dues, fees and subscriptions to professional organizations.
  • Generate, edit and distribute reports, charts, and tables.
  • Make appointments utilizing Outlook through calendar/email; answer phone calls and deliver messages in a timely manner.
  • Make travel arrangements, prepare travel requests, authorizations and expense statements.
  • Maintain confidential records and files in accordance with FERPA regulations.
  • Sort, review, prioritize and distribute incoming division mail & processes outgoing U.S., interoffice & FedEx mail.
  • Monitor and maintain office supplies, break room supplies, copier paper, toner, etc.
  • Submit and monitor work orders for building maintenance needs; submit Use of College Property forms.
  • Comply with all college, state and local procedures, rules and regulations. Observe and promote continual improvement of workplace safety and environmental practices.
  • Perform other work-related duties as assigned.

Knowledge, Skills & Abilities

  • Ability to type at least fifty-five (55) words per minute.
  • Ability to independently organize, monitor, and maintain detailed compliance records and documentation.
  • Ability to interpret established requirements, identify missing or incomplete documentation, track deadlines, and communicate required actions to students and employees.
  • Ability to take initiative, work independently, and complete assignments and projects with limited supervision or detailed instruction.
  • Intermediate knowledge of Microsoft Outlook, PowerPoint, Word, and Access.
  • Advanced knowledge of Microsoft Excel, including formulas, pivot tables, data organization, and report creation.
  • Ability to learn and effectively utilize student compliance management systems such as Complio/American DataBank and other College information systems.
  • Knowledge of basic budget management, reconciliation, purchasing, and inventory processes.
  • Intermediate word-processing skills, including mail merge, professional correspondence, labels, bookmarks, hyperlinks, and document formatting.
  • Strong organizational, time-management, and task-prioritization skills with the ability to manage multiple deadlines simultaneously.
  • Knowledge of or experience with Class Climate or similar software.
  • Strong interpersonal, verbal, and written communication skills with the ability to communicate information clearly and professionally.
  • Ability to work effectively both independently and as a collaborative member of a team. A high degree of self-sufficiency and initiative is required.
  • Ability to interact professionally with students, faculty, staff, administrators, vendors, clinical partners, community members, and other stakeholders.
  • Ability to maintain discretion and confidentiality when handling sensitive student, employee, financial, and departmental information.
  • Ability to work effectively in a high-traffic environment with frequent interruptions and changing priorities.
  • Ability to maintain professionalism and composure when addressing difficult situations, competing priorities, resistance, or sensitive matters.
  • Ability to consistently demonstrate professional conduct, communication, work style, and appearance.
  • Ability to exercise sound judgment, attention to detail, and discretion when completing assigned responsibilities.

Salary: Amarillo College follows a lag pay strategy, with starting offers typically between the minimum and midpoint of the pay grade, rarely reaching the maximum to support long-term growth within each position. Pay grade 9 Amarillo College Pay Grades (salary is determined by Human Resources based on education, work experience and internal comparisons).

Physical Demands: While performing the duties of this job, the employee is frequently required to travel between offices and buildings, and requires the ability to lift, carry, push, pull and/or maneuver office supplies up to twenty-five (25) pounds as needed.

Working Conditions: Must be willing to work a flexible schedule, including days, evenings, weekends, holidays, and varying events when necessary.

Work Environment: This position operates primarily in a professional office environment and routinely utilizes standard office equipment, including computers, telephones, copiers, scanners, filing systems, and related equipment. The position works in a high-traffic environment with frequent interruptions and regularly interacts with students, faculty, staff, administrators, and other stakeholders.
