Clerical Substitute

POSITION PURPOSE:

Performs a wide range of administrative and clerical tasks to ensure the efficient operation of the school office on an as-needed basis. This position supports the principal, staff, students, and families, and serves as the initial point of contact for the school building.

ESSENTIAL JOB FUNCTIONS:

  • Serves as the first point of contact in the front office; greets visitors and answers telephones in a professional and welcoming manner.
  • Manages student attendance records, daily absences, tardiness, and report generation.
  • Prepares correspondence, memos, bulletins, and other documents as requested.
  • Maintains and organizes student records, including enrollments, withdrawals, and cumulative files.
  • Supports principal and staff with scheduling, recordkeeping, and filing.
  • Maintains staff attendance records.
  • Processes purchase orders, maintains supply inventories, and coordinates deliveries.
  • Assists with preparation of school events, communications, meetings, and newsletters.
  • Administers basic first aid.
  • Ensures confidentiality of student and staff information per FERPA and district policy.
  • Performs other duties in a professional manner as assigned by the building administrator.
  • Ability to prioritize tasks.

QUALIFICATIONS:

  • High School diploma or equivalent.
  • Prior clerical, administrative, or school office experience is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and district student information systems (Progress Book, Final Forms) is preferred.
  • Strong organizational, interpersonal, and communication skills.
  • Ability to multi-task and manage interruptions in a fast-paced environment.
  • Familiarity with office equipment such as copiers, fax machines, and intercom systems.
  • Knowledge of school policies and procedures.

WORKING CONDITIONS:

  • Majority of work is performed in a school office environment.
  • Frequent interactions with students, staff, parents, and community members.
  • Must have the ability to adapt to changing priorities and demands.
  • May require sitting or standing for extended periods and occasional lifting of up to 25 pounds.
