Job Description

Primary Purpose

Under direct supervision provide reception and clerical assistance for the efficient operation of the campus office. Assist and support the campus staff. Contribute to the smooth and efficient operation of the campus.

Qualifications

Education/Certification

High School Diploma or GED

Special Knowledge/Skills

Proficient in the use of computers/communications technology

Ability to communicate with the public effectively and professionally

Ability to operate multi-line phone system

Ability to follow detailed written and verbal instructions

Effective organization, communication, and interpersonal skills

Ability to operate a multi-line phone system

Bilingual English/Spanish (preferred)

Experience

One to three years clerical experience (preferred)

Major Responsibilities and Duties

  • Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
  • Greet guests in a friendly and professional manner.
  • Receive, sort, and distribute mail, messages, documents, and other deliveries.
  • Produce typewritten and/or computer processed copy - error free, grammatically correct and properly punctuated.
  • Prepare correspondence as directed.
  • Make phone calls as directed.
  • Prioritize and maintain workflow, with follow-up accomplished in a timely manner-demonstrating effective use of time.
  • Use available resources effectively such as copy machines and computers.
  • Keep schedule of meetings held at the building. Communicate these to the custodian.
  • Maintain a file of pertinent/updated information (for all).
  • Maintain computer generated special education forms, including the digital archiving of those forms.
  • Take initiative to be certain all materials flowing through the front desk are dealt with promptly.
  • Assume responsibility and carry out job requirements with a minimum of daily supervision.
  • Under own initiative, assist others when necessary and/or appropriate.
  • Assist with the workload of other secretaries, when they are absent or when they need assistance.
  • Compile, maintain, and file all reports, records, and other documents as required.
  • Maintain confidentiality.
  • Perform other duties as assigned.

Tools/Equipment Used: Multi-line phone system; standard office equipment including personal computer and peripherals
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Lifting: Occasional light lifting and carrying (less than 15 pounds)
Environment: May work prolonged or irregular hours; prolonged use of computers; exposure to computer emissions
