Job Description

Primary Purpose

Under direct supervision, provide clerical assistance for the efficient operation of the Special Education Personnel. Assist and support the Special Education staff and contribute to the smooth and efficient operation of the special education paperwork.

Qualifications

Education/Certification

High school graduate or GED

Special Knowledge/Skills

Proficient in computer/communications technology

Ability to communicate with the public effectively and professionally

Ability to follow written instructions

Proficient skills in typing, word processing, and file maintenance

Effective organizational and interpersonal skills

Experience

One to three years of clerical experience (preferred)

Major Responsibilities and Duties

  • Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
  • Receive, sort, and distribute mail, messages, and documents.
  • Perform general office duties such as copying documents and files, assembling ARD) materials, filing, and typing.
  • Keep informed of and comply with state, district, and school policies and regulations concerning primary job functions.
  • Produce typewritten and/or computer-processed copy - error-free, grammatically correct and properly punctuated.
  • Prepare correspondence as directed.
  • Set up interpreters for testing, meetings, and parent correspondence (either at campus or centralized).
  • Make phone calls as directed.
  • Maintain and track Special Education department materials and supplies, including assessment and testing resources, curriculum and instructional materials, office supplies, equipment, and inventory records to ensure availability and compliance with departmental needs.
  • Prioritize and maintain workflow, with follow-up accomplished in a timely manner, demonstrating effective use of time.
  • Use available resources effectively such as copy machines and computers.
  • Maintain computer-generated special education forms.
  • Assume responsibility and carry out job requirements with a minimum of daily supervision.
  • Under own initiative, assist others when necessary and/or appropriate.
  • Maintain confidentiality.
  • Monitor the building entrance and follow district protocol for visitors in a building when required.
  • Request records from outside the district.
  • Primary clerical contact for special education processes.
  • Perform other duties as assigned.

Tools/Equipment Used: Standard office equipment, including personal computer and peripherals; MAC iOS operating system, PC operating system; new technology equipment and devices, as acquired by the district

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Motion: Repetitive hand motions, including frequent keyboarding and use of the mouse; occasional reaching

Lifting: Regular heavy lifting and carrying (up to 20 pounds).

Environment: May work prolonged or irregular hours; occasional district-wide travel; exposure to computer emissions; ability to transport materials/supplies to be used in presentations and in work sessions with teachers

Mental Demands: Work with frequent interruptions; maintain emotional control under stress; ability to communicate (verbally and written)

Other: Work as a team member with peers, building personnel and administrators. Professional demeanors, resourcefulness, communicate effectively with diverse groups and accept supervision. Work without day-to-day supervision. Regular and punctual attendance at the workplace
